This policy explains what personal information Topaz Field Grove ("we", "us") handles when you use topazfieldgrove.com, why we handle it, and what you can ask us to do about it. It is written for the way this particular website actually works, which is simple: it has one form, no user accounts, no analytics and no advertising tags.

2. What we collect
What you send us
The enquiry form asks for your name, your email address and your message, and lets you add a telephone number, a topic and the town or area you are interested in. Whatever else you write in the message is also received by us, so please keep it to what is needed for your question. Please do not send ID numbers, bank details, passwords or health information.
What your browser sends automatically
Like any website, our pages are delivered by a web server that can see your IP address, browser type and the page you asked for. We do not run analytics software, we do not read these logs for marketing, and we do not build profiles of visitors. Our hosting provider may keep ordinary server logs for security and fault-finding under its own policy.
What we do not collect
We do not set advertising or tracking cookies, we do not use tracking pixels or session recording, and we do not ask you to create an account. The site does not store anything in your browser's local storage.
3. Why we use it
- To read your enquiry and reply to you by email or telephone.
- To arrange an appointment at the office if you ask for one.
- To keep a short record of what was asked and answered, so that you do not have to repeat yourself in later messages.
- To meet a legal obligation or protect our rights if a dispute arises.
We do not use your details to send newsletters or advertising, and we do not sell them.
4. Who else handles your information
formsubmit.co
The enquiry form is processed by formsubmit.co, a third-party form relay that is not run by us. When you press the send button, your message is delivered to FormSubmit's servers, which then forward it to our mailbox. FormSubmit is an independent company with its own privacy practices, and its servers may be outside Japan. We cannot promise how it stores or protects your data, and we do not claim that the transfer is encrypted or that nothing is kept by the service. Google Fonts
The headings and text on this site use fonts served by Google Fonts. When a page loads, your browser contacts Google's servers to download them, and Google receives your IP address and browser details as part of that request. We do not control what Google does with this information; its policy applies.
Email providers
Enquiries reach us as ordinary email. Email is not a private channel by default, and the providers who carry it may store copies. If your question is sensitive, use the telephone.
Google Maps link
The contact page has a link that opens Google Maps in a new tab. Nothing is sent to Google unless you click it.
Transfer outside Japan
Because formsubmit.co and Google may process data in other countries, your information may leave Japan when you use the form or load the fonts. By sending the form you accept that. If you do not, please contact us by another route.
We do not otherwise give your personal information to third parties, except where the law requires it or where you have asked us to.
5. How long we keep it
We keep enquiry emails for as long as the conversation is open and for a reasonable period afterwards in case you write again. We have not set a fixed deletion schedule, and the mailbox is a normal business mailbox rather than a purpose-built archive. Tell us if you want a message deleted sooner.
6. Keeping it safe
Messages land in a business email account that only the people who answer enquiries can open. We take ordinary care, such as not forwarding messages beyond those who need them. We cannot guarantee that email or an external form service is secure against every kind of interception or failure, and we do not describe our handling as encrypted or fully secure.
7. Your rights
Under the APPI you may ask us to tell you what personal information we hold about you, to correct it if it is wrong, and to delete it or stop using it in the cases the law provides for. To make a request, write to inquiry@topazfieldgrove.com from the address you used originally or send a letter to our office, and tell us what you want done. We may ask you to confirm who you are before we act. We will answer within a reasonable time and will tell you if a legal reason prevents us from doing what you ask.
8. Children
This site is intended for adults who are considering a home or a plot. We do not knowingly collect information from children. If a parent finds that a child has sent a message, please write to us and we will remove it.
9. Changes to this policy
If the way the site works changes, for instance if we add an analytics tool or a new form service, we will update this page before the change goes live and change the date at the top. Please look at the date when you return.
10. Complaints
